01 Introduction

Welcome to VahanBid (“VahanBid”, “we”, “us”, or “our”). We operate a vehicle auction and marketplace platform available through our website at https://vahanbid.com and our official Android application distributed via Google Play and other authorised channels.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, with whom it may be shared, and the choices you have. By creating an account, installing our app, or using our services, you acknowledge that you have read and understood this Policy.

This Policy should be read together with our Terms & Conditions and Registration Terms.

02 Who We Are (Data Controller)

For the purposes of applicable Indian data-protection and IT laws, the controller of your personal data in connection with VahanBid services is the operator of the VahanBid platform.

03 Scope of This Policy

This Policy applies to personal data processed when you:

  • Visit or use the VahanBid website (including mobile web);
  • Download, install, or use the VahanBid Android app;
  • Register as a member, complete KYC, place bids, add wallet funds, or buy vehicles;
  • Contact support (email, phone, WhatsApp);
  • Receive transactional or service notifications (including push notifications).

This Policy does not apply to third-party websites, payment apps (e.g. GPay, PhonePe), or services that we do not control, even if linked from VahanBid.

04 Information We Collect

Depending on how you use VahanBid, we may collect the following categories of data:

We do not intentionally collect: precise continuous GPS tracking for advertising, your phone contacts list, SMS content (except if you voluntarily share a payment SMS screenshot), microphone audio, or health data.

Sensitive documents: KYC files and payment screenshots are treated as confidential and are accessible only to authorised staff for verification and compliance.

05 How We Use Your Information

We use personal data to:

  1. Provide the service — create accounts, run auctions, process bids, manage wallet balances, and show listings.
  2. Verify members — complete KYC checks and reduce fraud or multi-account abuse.
  3. Process payments — manual UPI deposits (QR / UPI ID), UTR matching, admin approval, receipts, and related accounting.
  4. Communicate — bid updates, outbid notices, fund approval/rejection, membership status, security alerts, and support replies.
  5. Improve the product — fix bugs, analyse feature usage in aggregated form, and improve performance and UX.
  6. Security & compliance — detect suspicious activity, enforce terms, respond to lawful requests, and maintain tax/GST records where applicable.
  7. Customer support — resolve issues via phone, email, or WhatsApp.

We do not sell your personal information to data brokers or third-party advertisers.

07 How We Share Information

We may share data only as needed with:

  • Authorised staff / admins — to verify KYC, approve funds, manage auctions, and provide support;
  • Payment ecosystem parties — UPI apps and banks process payments on their systems; we receive references (e.g. UTR) and proofs you upload;
  • Technology providers — hosting, email, SMS gateways, push notification services (e.g. Firebase Cloud Messaging), analytics/crash tools (if enabled), under appropriate safeguards;
  • Auction / institutional partners — limited operational details necessary to complete a vehicle acquisition or transfer process when you win;
  • Legal & safety — courts, regulators, or law enforcement when required by law or to protect rights, safety, and integrity of the platform;
  • Business transfers — in case of merger, acquisition, or restructuring, with notice where required.

We do not rent or sell personal data for third-party marketing.

08 Payments, Wallet & Manual UPI

VahanBid may allow wallet top-ups via manual UPI payment (QR code / UPI ID such as the ID displayed in the Add Funds screen). When you top up, you may submit:

  • Payment amount;
  • UTR / UPI transaction reference;
  • Payment screenshot or proof image;
  • Optional payer UPI ID and notes.

Our administrators review proofs and may credit tokens based on the amount actually received. Mismatches between claimed and received amounts may be adjusted, logged, and communicated to you.

Payment apps (Google Pay, PhonePe, Paytm, bank apps, etc.) have their own privacy policies. We do not control those apps. Card/net-banking gateway data, if ever used, is handled by the respective payment processor under their terms.

09 KYC, Aadhaar & Identity Documents

To maintain a trusted auction marketplace, we may require identity verification (for example PAN and Aadhaar-related documents). These documents are used only for verification, anti-fraud, and compliance purposes.

  • Access is limited to authorised personnel;
  • Documents are stored with security controls appropriate to their sensitivity;
  • We do not publish your KYC documents on public auction pages;
  • You should upload clear, authentic documents only — false documents may lead to account rejection or ban.

10 Android App Permissions & Device Data

Our Android app may request permissions required for core features. Exact permissions depend on the app version and Android OS. Typical categories include:

You can revoke optional permissions in Android Settings. Some features may stop working if required permissions are denied. We do not use app permissions to harvest unrelated personal data.

11 Push Notifications & Communications

With your device permission, we may send push notifications about auctions, bids, wallet, membership, and service announcements. You can disable notifications in the app (if available) or in your device settings.

We may also contact you by SMS, phone call, WhatsApp, or email for transactional and support purposes related to your account. Marketing messages, if any, will be limited and you may opt out by contacting support (transactional messages may still be sent).

12 Data Storage & Security

We implement reasonable technical and organisational measures designed to protect personal data, including:

  • Password hashing and session-based authentication;
  • Access controls for admin staff;
  • Secure upload handling for proofs and documents;
  • HTTPS encryption in transit where the site/app is served over TLS;
  • Server and database protections consistent with industry practice.

No method of transmission or storage is 100% secure. You are responsible for keeping your login credentials confidential and for securing your device.

13 Data Retention

We retain personal data only as long as needed for the purposes described in this Policy, including:

  • Account data — while your account is active and as needed after closure for disputes or legal requirements;
  • Transaction & bid records — for accounting, tax, audit, and dispute resolution (often several years);
  • KYC documents — for verification and compliance periods required by law or risk policy;
  • Payment proofs / UTR — for fund verification and fraud investigation;
  • Support chats — as needed to resolve issues and improve service.

When data is no longer required, we delete or anonymise it where reasonably practicable.

14 Your Rights & Choices

Subject to applicable law, you may request to:

  • Access personal data we hold about you;
  • Correct inaccurate profile information;
  • Delete your account or certain data (subject to legal retention needs, open bids, unpaid obligations, or fraud holds);
  • Withdraw consent for optional processing (e.g. non-essential notifications);
  • Object to certain processing where permitted by law.

Account deletion (Play Store): Request permanent account deletion on our dedicated page Delete Account (https://vahanbid.com/delete_account), or email contact@vahanbid.com / WhatsApp with your registered mobile. Eligible requests are typically processed within 7–14 business days after verification, except where we must retain data for legal, security, or financial-record reasons.

15 Children’s Privacy

VahanBid is intended for users who can form a legally binding contract under Indian law (typically 18 years or older). We do not knowingly collect personal data from children under 18. If you believe a minor has provided data, contact us and we will take appropriate steps to delete it.

16 Cookies, Sessions & Similar Technologies

Our website may use:

  • Session cookies / login sessions — to keep you signed in and secure forms;
  • Preference storage — e.g. theme (light/dark) in local browser storage;
  • Analytics or ads scripts — if enabled on the website (e.g. advertising networks), which may set their own cookies under their policies.

You can control cookies through your browser settings. Disabling essential cookies may break login or bidding features.

17 Third-Party Services

Examples of third parties that may process data on our behalf or as independent controllers include:

  • Cloud hosting and database providers;
  • Email / SMS delivery services;
  • Push notification infrastructure (e.g. Google Firebase / FCM for Android);
  • Google Play services (app distribution, updates, integrity);
  • UPI and banking apps used by you to pay;
  • Social links (Facebook, Instagram) if you choose to visit them from our site.

18 Data Location & Cross-Border Processing

Primary operations target users in India. Data is generally stored on servers/systems used to host VahanBid. Some infrastructure providers (for example global cloud or push services) may process data in other countries with contractual and security safeguards as available. By using the service you understand that processing may involve such providers as needed to operate the platform.

19 Changes to This Policy

We may update this Privacy Policy from time to time to reflect product, legal, or operational changes. The “Last updated” date at the top will change when we publish a revision. Material changes may also be announced via the website, app notice, or email/SMS where appropriate. Continued use after changes means you accept the updated Policy, to the extent permitted by law.
